Pricing Disclaimer

When ordering textbooks, all totals are calculated using NEW prices, as we cannot guarantee the availability of used books. If your order is completed with used books available, the totals will be recalculated using the correct prices before your card is charged.

PLEASE NOTE: All textbooks requirements and prices are subject to change. The bookstore is not responsible for books purchased from other sources. We will not make exchanges or refunds for books purchased from any other source.


Order Fulfillment

When filling textbook orders, we will always do our best to completely fill the order. Therefore, if a customer ordered a used copy of a textbook and no used copies are available, we will fill that order with a new textbook.

Unfortunately, some books are not always available, so they may not be fulfilled. In those cases, we note that a book(s) was unavailable and do not charge the customer for it. Unless we specify otherwise, unavailable items are NOT backordered.


Billing Policy

Online orders are NOT billed to the customer’s card when the order is submitted. Instead, a pending charge is placed on the card’s account, which is officially billed AFTER the order is pulled and processed. This allows us to make changes to an order and more accurately bill the customer, according to product availability.

In some circumstances, our online payment gateway can decline a credit card. While there can be numerous reasons for this, the most common problem is an incorrect input of the customer’s billing address (i.e., it doesn’t match the billing address of the card). In those cases, a pending charge is still placed on the account. This charge will disappear within 5-7 business days, however, as we cannot process a declined order.


Return Policy

PLEASE KEEP RECEIPTS! A valid receipt is required for any return.

Any return can be done inside our store, regardless of whether it was purchased at the store or online. For customers that cannot make it to the store, returns can be mailed to us with the receipt and a note explaining that the package is a return. Please note that we do NOT refund shipping costs, however.

  • Textbook Returns
  • All books must be returned in original purchase condition within one week after classes begin. After the first week of classes, books are returnable within 3 business days of the purchase date. Should a student choose to drop a course, we do allow one extra week (two weeks from the start of class) for returns, with proof of the drop.

  • New books must be in original purchase condition, and if shrink-wrapped, the wrap must be intact. All accessory items such as CDs or information cards must also be returned undamaged.
  • Certain textbooks are wrapped with CDs or access codes and sold as packages. These can often be marked “NO RETURN IF UNWRAPPED”, and are non-returnable once opened.

  • Digital Returns
  • Ebooks and other access codes follow the same return policy as traditional textbooks; however, because there is no physical product, they may not be returned once activated.

  • *Please make sure your computer or device meets the system requirements and is compatible with the code before activating it. Feel free to contact either the bookstore or the publisher if you need any assistance with technical difficulties.

  • Merchandise Returns
  • Non-textbook merchandise, including clothing and gift items, must be returned in original condition within 10 business days from the date of purchase.

  • We are more than happy to help you exchange a merchandise item for a different color or size. Simply contact us or stop in the store and we will be able to assist you.

Rental Policy

The purpose of the Phoenix Rental Program is to provide additional textbook options to meet the educational needs of students at UW-Green Bay.

Every customer must agree to the terms of the rental agreement before they can rent any materials. The agreement specifies that rental materials are the property of The Phoenix Bookstore and must be returned by a specified deadline. This date is usually on or near the last day of finals. Students can incur late fees and potentially additional charges if rental materials are either returned late or not returned at all. They can also incur penalties if the materials are not returned in resalable condition. Minimal highlighting and writing is general accepted; however, water damage, torn out pages or covers, or other excessive wear is often deemed unacceptable.

Privacy Policy and Disclaimer

The Phoenix Bookstore is committed to protecting the privacy of our customers. Information collected is used solely for processing your order. All information you provide to us electronically is kept confidential and will not be applied in ways to which you have not consented. We will not sell or disclose any information that identifies you to a third party.


Encryption is used for the transfer of data. Unfortunately, no data transmission over the Internet can be guaranteed to be 100 percent secure. As a result, while we strive to protect your personal information, we cannot guarantee or warrant the security of any information you transmit to or from our website.
